Adding and managing recipients

Recipients are the people who'll receive, fill in, and sign your document. You can add up to 10 recipients per document.

Add a recipient

  1. In the document editor, click Add recipient in the Recipients panel (or just click the document while placing a field — if you have no recipients yet, Inkless will prompt you to add one on the spot).
  2. Fill in:
    • Name (required)
    • Email (required) — this is where the signing link is sent
    • Phone (optional, paid plans only) — used if you want to send the signing link by text message; US numbers only
  3. Click Confirm.

Note: Even if you're one of the signers yourself, you still need to add yourself as a recipient with your own name and email — Inkless doesn't automatically add the sender as a signer.

Each recipient needs a unique email address — Inkless will stop you if you try to add the same email twice.

Edit or remove a recipient

Open the menu next to a recipient's name in the panel:

  • Edit reopens the form pre-filled so you can fix a typo.
  • Remove deletes the recipient. If they already have fields assigned to them, you'll be asked to confirm, since removing them also deletes those fields.

Assigning fields to the right person

Click a recipient's row to select them, then place fields as normal — new fields are assigned to whichever recipient is currently selected. Each recipient's row shows how many fields they have; a recipient with no fields assigned is flagged with a warning, since a document can't be sent until every recipient has at least one field.

Sending to multiple people

By default, every recipient is emailed at the same time and can sign in any order. If you need people to sign one after another (for example, an employee, then their manager), see Setting a signing order.
